Job Description:

This position provides Human Resources support to the Department of Physical Therapy. The position is responsible for completing all administrative tasks regarding human resources for Faculty, Staff and Students, and is responsible for resolving a variety of HR issues. This position requires the incumbent to maintain confidentiality, exercise a high level of tact and discretion, and communicate with diverse groups of people in a culturally sensitive manner.

Job Responsibilities:

  • Coordinates a complex portfolio of HR processes within the administrative, Faculty, and research areas of the Department of Physical Therapy.
  • Provides advice and guidance to Faculty and Staff regarding Workday business processes.
  • Provides advice and guidance on collective agreement terms, and UBC policies to Faculty and Staff
  • Prepares and processes all Staff, Student, and Faculty appointments.
  • Generates appointment/reappointment offer letters and promotion letters across Department functions and locations (research lab sites, distributed campuses, etc) for staff, student, and faculty members, and coordinates with the Department Head for signatures.
  • Provides information and advice to faculty, staff, and administrators on HR issues
  • Provides information to faculty and staff regarding appointments and reappointments.
  • Collects and maintains vacation and sick leave data, and tracks annual performance reviews
  • Coordinates recruitment for new Faculty hires including distributing CVs, publication records, teaching dossiers, and referee letters.
  • Responsible for confidential departmental personnel files including file management and retention or disposal of personnel files.
  • Ensures resolution of pay-related problems
  • Responsible for ensuring funding for each appointment is available and coordinates with administrators and Primary Investigators to ensure appropriate costing allocations are used.
  • Works closely with Finance Manager to administer complex pay structures.
  • Responsible for communicating with Payroll, Human Resources, Dean’s Office, and Faculty Relations to investigate and solve complex payroll and personnel discrepancies.
  • Provides administrative support to Administration Manager, PT Programs Manager, and Finance Manager.
  • Provides assistance to staff and faculty with Workday related questions and issues
  • Responds to all inquiries in a professional and courteous manner; provides and obtains information effectively and tactfully; refers the individual to the appropriate staff or faculty member as necessary.

  • Training in office procedures and experience handling Human Resource paperwork
  • Ability to perform basic arithmetic.
  • Ability to understand and apply policies, procedures, and instructions.
  • Ability to anticipate problems and issues and plan ahead.
  • Workday training and experience
  • Ability to create and accurately maintain record and filing systems.
  • Ability to think conceptually. (i.e., use creative, conceptual, or inductive reasoning or thought processes to identify patterns in complex data, and identify key or underlying issues in complex situations)
  • Ability to compose correspondence, reports, presentations, and other written materials using clear concise business English.
  • Ability to accurately proofread for spelling, grammar, and punctuation.
  • Ability to efficiently and effectively coordinate tasks.
  • Ability to respond appropriately to inquiries in person, on phone, and in writing, and make appropriate referrals.
