Job Description:

A Secretary-Assistant, works closely with a high-level professional to accomplish their day-to-day tasks. The assistant must be able to relieve his managers of all secondary and administrative issues so that he saves time and efficiency. The Executive Assistant provides support by handling correspondence, managing calendars, arranging appointments and conference calls, arranging events, making travel arrangements and providing other administrative tasks.
The role requires a high level of integrity and the ability to exercise discretion and confidentiality given the frequent exposure to sensitive company information.


Job Responsibilities:

  • Maintains and update files/records and DB (ex Customer Relationship Management system, gift declaration, staff movements files)
  • Coordinates travel arrangements (logistic, transportation, accommodation, immigration, etc)
  • Handles sensitive materials; maintain appropriate levels of confidentiality
  • Handles incoming calls, responds to inquiries
  • Orders supplies and process invoices in the system
  • Onboarding new starters (Requesting security passes, ordering IT equipment, business cards, systems access)
  • Maintains files for the different events
  • Manages the calendar according to priorities and constant evolutions
  • Supports senior managers and team leaders
  • Arranges lunches, dinners or other kind of events as required by the senior manager

Job Requirements:

  • Advanced skills in Outlook, intermediate in MS Word, PowerPoint and Excel
  • Be extremely organized, flexible, excellent time management skills and attention to detail
  • Very good knowledge of French and English (written and spoken)
  • Experience in a similar position required
  • Exercise appropriate judgment and discretion, especially when handling confidential information
  • Ensure to follow compliance and good conduct according to HSBC Standards
  • Problem analysis and problem solving skills
  • Excellent communication skills
  • Ability to work under pressure; manage workload, conflicting priorities and deadlines effectively

  • Be resourceful and able to work both independently as well as within a team
