Job Description:
This is considered the entry-level classification in the Administrative Specialist Series.
Job Responsibilities:
Interacts with the public or internal customers in person, via email, or over the telephone, and direct them to the appropriate person or Department. Responds to inquiries, provides routine information, and/or records messages. Contacts individuals in person, via email, or by telephone to obtain information, documents, or resolve discrepancies. Assists the public or other employees in understanding and filling out forms.
Interprets or explains Departmental policies, procedures, regulations, and codes to the public, and directs them to the proper office or staff. Assists in the development of internal policy and procedures.
Operates a variety of office equipment including copiers, facsimile machines, and computers.
Establishes and maintains traditional and electronic filing systems by preparing new file folders.
Sorts, files, shelves, or stores materials. Checks accuracy and completeness of information being filed including electronic files, with the goal of eliminating paper files.
Inputs data and prepares reports, charts, graphs, and tables using a calculator, adding machine, or personal computer with standard or specialized software/databases. Assists with editing, and/or maintaining information on Departmental City website or intranet.
Job Requirements:
Basic mathematical operations such as addition, subtraction, multiplication, and division. Standard office procedures and practices.
English grammar usage, spelling, punctuation, and business vocabulary.
Knowledge of Glendale Municipal Code
Develop necessary skills from on-the-job training and meet the standards of performance for the classification by the end of the probationary period.
Establish and maintain smooth working relationships and independently resolve interpersonal conflicts.
Format information and create tables, documents, correspondence, etc. using a computer.
Foster a teamwork environment.
Handle confidential information with discretion.
Maintain a high level of flexibility in work assignments and in dealing with co-workers.
Maintain accuracy while performing routine repetitive tasks.
Model and practice the highest standards of ethical conduct.
