Job Description:

Reporting to the VP of Flight Operations, the Flight Operations Assistant provides administrative support to all areas of the Flight Ops department including maintaining and updating all Flight Operations manuals and documents and assisting with Crew Scheduling tasks.


Job Responsibilities:

  • Arrange all deadheads and hotels for crewmembers or flight operations managers
  • Handle all incoming flight envelopes, coordinate fuel slips and other documentation accordingly
  • Project manage current and future Flight Operations systems such as runway analysis, route and aerodrome analysis, electronic flight bag documentation, and supporting Flight Operations documents
  • Contribute to Flight Operations projects and initiatives
  • Conduct aircraft inspections for Flight Operations
  • Other duties as assigned
  • Administrative support to the Flight Operations department
  • Distribution and tracking Flight Operations documents
  • Help prepare monthly bid packages
  • Coordinate and book simulator training
  • Assisting with entering training files into the Company database
  • Updating and maintenance of technical and operational manuals in Flight Operations
  • Assisting Flight Operations personnel in developing and documenting policies and procedures
  • Organization, maintenance, and regular update of Flight Operations publications
  • Assisting with the formatting and editing of memos, bulletins, manual amendments, and distribution
  • Coordination with aircraft chart providers, aircraft performance, third party document services and subscription services

Job Requirements:

  • Strong leadership skills (coaching, mentoring, influencer)
  • Proven ability to work independently and work under pressure
  • Proven ability to work independently and work under pressure
  • Must be able to obtain and maintain an Enhanced Security Clearance qualification
  • Post-secondary education in related field preferred or a combination of education and experience may be considered
  • Previous management experience an asset
  • High degree of accountability
  • Excellent interpersonal skills with ability to build relationships
  • Excellent computer skills required (MS Office)
  • Excellent communication, time management and organization skills
